Greetings! The warm weather is upon us and it's time to apply the principles of "Spring Cleaning" to your office. Over the next three weeks we will give you some tips on how to make this happen. Clearing of office clutter can be broken down into three distinct areas: decluttering your office; reorganizing your office; and maintenance. All are equally important and we will expand on each individually over the next three weeks. Think of your desk as a work surface for current and daily work and not a storage space. This thinking will help you to keep your office better organized and have less clutter. Office Maintenance:
- Try to make it a habit of handling every piece of paper only once if possible. When you open your mail or email, deal with it immediately. Add meeting information to your calendar then get rid of the information. If it is a quick question, answer it and either file or discard it.
- Implement a clean desk policy, take five minutes at the end of the day to organize what is on your desk and what will be needed tomorrow and file away what won’t.
- Set aside time each week to file away information from your out boxes and to prevent a backlog of unfilled documents.
- How often you need to schedule time to maintain your office will depend upon how much paper work you generate on a daily bases.
- Remember to File it, Act on it or Discard it with every piece of paper that lands on your desk to help keep the clutter under control.
- The same rules can apply to e-mails and electronic files. When an email comes in you should delete it, act on it, file them or read them and reply immediately.
